The DDN Video Operations Policy governs the use and access for DDN video rooms. Along with K-12 public school use, the DDN video equipment provides a resource for community members to participate in lifelong learning opportunities. The purpose of this memo is to outline the coordination process for students taking post-secondary classes over the DDN.

Key points regarding DDN Video Operations Policy: (see policy for more details)
  1. Each school district has approval/disapproval authority regarding use of their DDN video room.
  2. K-12 school districts may use the DDN video system for no charge. The South Dakota public universities have paid a fee for access to the DDN video system. Other users (private colleges/universities, non-profit or for-profit organizations) may use the DDN video system during specific times for a fee.
  3. School districts do not charge for access to the DDN. However, they may charge a facility fee according to local district policy.
Coordinating use for higher education classes:
  1. The first step for any potential student is to coordinate and obtain approval from the school district DDN site coordinator. A listing of each district coordinator can be found on the DDN website. Or the student can call the administrative office of the school district to obtain the name of the DDN site coordinator.
  2. When contacting the DDN site coordinator, the student needs to provide the dates and times for requested use, the name of the class, and the class originator.
  3. If approval for use is given, the student needs to obtain the name of the person giving approval and provide that name to the university originating the class. The student should also discuss the following with the site coordinator:
    • Is there a facility fee? If so how much is it? Note: if there is a facility fee, the student must contact the originating university to determine if they will be willing to pay that fee. If not, the student will have to pay the fee or locate another DDN facility.
    • What room is the DDN video equipment located in?
    • How will access to the school and room be arranged?
    • When will the student and site coordinator meet to review equipment operations such as start-up and shut-down procedures, camera selection and audio controls?
    • What other local district policies should the student be aware of?
  4. After the student has coordinated approval for using a DDN video site and provided the information to the appropriate university, the university will schedule the receive site with DDN central scheduling. There is no need for the site coordinator to submit a schedule request for this.
